Summary of Duties:
GEAR UP OVP is seeking an outgoing, creative and responsible person who will work under the direction of the Interim Director of OVP Programs.
The Program Coordinator will plan, organize and coordinate in all aspects of the program; openly communicate and plan with the Interim Director on critical and complex situations; help maintain the program directives as set out by the federal grants; abide with federal and state policy; and educate and inform students, staff and the key stakeholders on the GEAR UP OVP initiatives and perform other duties as assigned.
The Program Coordinator will serve as the main contact for program participants and assist the Interim Director in the overall implementation and assessment of the program, including maintaining program specific policies and procedures.
In addition, the Program Coordinator is responsible for complex scheduling, creating and maintaining internal systems to assist with workflow process, and coordinate office space and needs.
The Program Coordinator will interact and directly work with all staff including responding to inquiries regarding scheduling, events, and program services provided.
Work with Fiscal Analyst to create budget reports, create and coordinate marketing efforts such as fliers, brochures, and magazines.
Coordinate and Plan staff events and trainings, including travel logistics.
Maintain contracts, payments, and invoices.
Required
Qualifications:
High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.
Two years of experience working in a service-oriented office environment, such as student services (advising, financial aid, admissions, etc.
) Experience with Google drive, calendar, and workspace.
Microsoft Word, Publisher, Access, Excel and Zoom.
Experience performing complex clerical duties, such as calendar management, vendor contracts and invoices, travel expense reports, preparing marketing and communications, organizing meetings and materials.
Ability to communicate and work effectively with people from diverse backgrounds.
Express a genuine passion for serving students and communities Demonstrated ability to work effectively and positively in a diverse team environment.
Student services support experience in admissions, advising, and/or recruitment.
Valid unrestricted driver's license.
Preferred
Qualifications:
AA or Bachelor's degree in a relevant field.
Bilingual:
fluent oral and written communication skills in a language other than English.
Experience working with marketing design platforms such as Canva or Creative Cloud.
Demonstrated ability to exercise professional judgment and leadership, including the ability to work collaboratively and independently.
Experience with Washington State University business policies and procedures and/or federal grant regulations, such as the College Assistance Migrant Program (CAMP), High School Equivalency Program, 21st Century, or similar grant programs.
